participant management platform
Take a few moments to get acquainted with our new Participant Management Platform (Participant List). This tool will allow you to manage your participant list and provide information for every individual attending camp (name, completed grade, track time selections, etc.). You will also be able to easily track the status of signed waivers, review your registration and balance details, update the primary contact information associated with your registration, sign the church agreement form, and more!

(1) This is your participant list! As you add info for campers and adults, they will populate here.
(2) When a parent / guardian or adult submits a Waiver & Release Form, the information will be listed here. With just a few clicks, you can add them to your participant list. If someone submits a waiver with information that matches someone already on your list, the waiver will automatically link up with the participant! If the system is unable to match a waiver with participant info, you will also find those exceptions here.
(3) Under List Management options, you can (a) sign your church agreement form, (b) update the group leader contact info (the info displayed on your camp waivers). The church agreement form will not be available until after you submit your completed list.
(4) You can view all your registration details here, including your financial balance. Note that the system will not allow you to enter more participants on your list than your registered number.
(5) You can click here to quickly add participants to your list. Provide their name, gender, status (camper, adult, etc.) grade completed, and track time selections. (You can also add a participant and complete the track selections later).
(6) This is an alternate method for adding participants to your list. This method is more mobile-friendly.
(7) You can use this column to automatically keep track of who has completed a camp waiver! (No need to make your list and check it twice!)
(8) This column indicates adults (over age 18) who will be automatically populated on your Church Agreement Form after you submit the participant list.
(9) Use the feature to search your list. The search tool is “smart,” so you can search by a name, or you can type “F” to view all the females, or “Adult” to see all the adult leaders.
(10) Click here to finalize your list. After you submit, you will be able to sign the Church Agreement Form.
frequently asked questions
How do I login to the Participant Management Platform?
Around the beginning of March, you will receive an email with a link to login to our new Participant Management Platform. Look for an email with the subject: “Link to your Participant List for CentriKid.” This email will also include your login credentials. Once you receive the link and login details, consider bookmarking the link for easy access. Important: Please do not share this link or your login details with anyone except those approved to manage your registration and participant list.
Who should I contact for help with the participant management platform?
If you need to make an adjustment to your registration details (adjust registered numbers, make a payment, make more substantial changes to group leader contact information, etc.), please contact our customer service team at 877-CAMP-123 or [email protected]. If you need help with information regarding managing participants, please contact your camp leadership team (director or assistant director) by phone or email. Contact information for your camp leadership is located on your camp-specific location page. (Director and assistant directors will begin receiving communication and responding in April). You can always reach out to [email protected] with questions.
When Is my participant list due?
14 days prior to the beginning of your camp. It is very important that you complete and submit your information in a timely manner. Our camp leadership rely on this information to assign Bible study groups, assign track times, and make housing assignments. We are unable to complete these important tasks until we have a completed participant list from every group for a particular camp.
When will the participant list lock?
The participant list will automatically lock 14 days prior to camp. You will still have access to view your information, but you will be unable to make edits to participants, and you will need to contact your camp leadership (director or assistant director) for assistance.
Why Can’t I add additional participants to my list?
The system will not allow you to enter more participants on your list than your registered number. If your list is full and you need to add additional participants, please contact our Customer Service team at 877-CAMP-123. Pending availability, they can help you add additional spots to your registration. Once this is complete, you can add additional participants to your list.
You may also be unable to add additional participants to your list if you are within 14 days of the beginning of camp (lists lock automatically at this point). Please contact your camp leadership (director and assistant director) for assistance. Contact information for your camp leadership is located on your camp-specific location page.
Where do I find track time information?
Track time information is found in step 3 of the group leader prep center. https://centrikid.lifeway.com/group-leader-prep-step-3/
What are the different types of participants at camp?
In general, participants are either adults (chaperones), campers (completed 2nd-6th grade), or team assistants. In some instances, there may be other participants, such as minors who are either too young or too old to fit other categories and are not participating as campers. For more details on participants at camp, click here.
What is the difference between Status and grade?
Status indicates a more broad grouping (camper, team assistant, adult, or other), and grade helps us further categorize participants into groups, teams, etc. For example, in some circumstances, a team assistant (status) may be a either a minor (17 or under) or an adult (18+).
How should I handle participantS who are younger or older than camper age?
CentriKid is designed for campers who have completed 2nd-6th grade. In some instances, group leaders request to bring younger campers or older campers as participants. In these instances, please contact your camp leadership (director or assistant director) to ask for an exception.
If you receive an exception based on your circumstances, please mark any children who are participating in camp programming as a “camper” (status), and mark the grade that most closely corresponds with their situation. If younger or older children are not participating in camp programs and will remain under adult supervision throughout camp, please mark them as “other” (status) and “Minor (17 and under).”
Contact information for your camp leadership is located on your camp-specific location page. (Director and assistant directors will begin receiving communication and responding in April).
How should I handle a “free” participant (under age 2)?
Infants or toddlers who do not require additional bed space or meals may come at no charge. These participants should be registered with your group as a free spot and should be included on your participant list, marked as “age 2 or under” for grade. Please contact our customer service team at 877-CAMP-123, or email [email protected], to get this spot added to your registration. Participants with a free spot must still have a completed waiver on file. Younger kids who need a bed or who will eat meals at camp should be registered as a participant at full price.
How should I handle adults who are splitting their time or sharing a spot?
In some instances, adults at camp may tag-in / tag-out midweek or split their time at camp (this sometimes helps with recruiting volunteers and makes it easier for some adults to commit to serving as a chaperone). In these instances, only one adult should be added to the participant list, and you should make a note under “special requests.” If you attempt to add both adults, the system will recognize them both as “registered spots,” but they are actually sharing only one spot. Both adults must still have a completed waiver one file. Anyone from your group can complete a waiver associated with your Reg ID. These exceptions will remain in the “Attendees Awaiting Entry to Participant List” field. When you submit your list, you will also need to manually add the additional adult to the Church Agreement Form, as only names on the participant list will pre-populate.
