Registration and Financial Policy for CentriKid Camps
Dates, rates, and locations subject to change without notice. Sales tax added to event cost, if applicable.
Before January 30: You may reserve your spot at camp with no deposit.
January 30: A $125 per person non-refundable deposit is required for each reservation, paid on or before January 30. Any new or additional reservations made after January 30 will require an immediate $125 non-refundable deposit per person. All deposits are non-refundable and cannot be applied toward balance due. (The deposit for 3-day camps is $50 per spot).
May 1: In addition to forfeiting deposits, an additional $75 drop fee will be incurred for each decreased person after May 1 ($50 for 3-day camps). Previous deposit payments made cannot be applied or transferred toward final balance due.
14 Days Prior to Camp: Final balance must be received by this time. This money is non-refundable and non-transferable. If the final balance due is not paid by this time, your group will be charged a one-time $75 late fee.
Weather, Health, and National Disaster Cancellation Policy: We are always committed to hosting planned camps and events as scheduled. Simultaneously, your group’s safety is our priority. If circumstances beyond the control of either party, including dangerous weather conditions or national disaster, make hosting a planned event illegal, impossible, or irresponsible and we cancel the event, we will refund your deposits and final balance, if they have been paid. If you cancel your registration on your own, we will not be able to refund your deposits.
Sales Tax: Lifeway is required to collect sales tax for events held in Arkansas, Colorado, Indiana, Kentucky and Virginia. The sales tax charge will be added to the final balance on your camp confirmation statement. For churches traveling from out of state, you must send Lifeway a sales tax exemption for the state in which the event is held to have these taxes removed. Churches may obtain the proper documentation from the state’s Department of Taxation or Department of Revenue where available (Arkansas does not provide churches with exemption status). State tax exemption forms should be scanned and emailed to [email protected].
Auto Payment Option: Authorized Group Leaders may give permission to charge deposits, late cancellation fees and balance due to a church Lifeway account by calling Camps Customer Service at 1-877-CAMP-123. Authorization to charge your Lifeway account must be updated on a yearly basis.
Credit Card Payments: Use the unique payment link from your most recent camp statement to make payments online via credit card.
Physical Address for Payments: Mail checks for camp payments to: CentriKid Camps, Attn: CentriKid Registration, 200 Powell Place, Suite 100, Brentwood, TN 37027-7707. Please detach the lower portion of your most recent camp statement and include with payments.
Additional Camp Policies
Adult-to-camper Ratio
Please plan for a ratio of 1 adult for every 5 campers, gender specific. Each church group is responsible for ensuring that adult leaders (18+) provide supervision for all campers, including for each gender represented in the group.
Younger Kids at Camp
We want Group Leaders and Adult Leaders to be able to spend time with loved ones during their busy summer, and we understand that, in some situations, parents or guardians may want or need to bring younger kids to camp. Infants or toddlers who do not require additional bed space or meals may come at no charge. Younger kids who need a bed or who will eat meals at camp should be registered as a participant at full price. Younger kids should remain under adult supervision at all times, and may not participate in Bible Study, Recreation, or Track Times. Please also consider the needs of your campers, and ensure enough adults accompany your group to build relationships and focus on their camp experience. All participants (even younger kids) must complete a camp waiver and release.
Note: Children under 2 who do not require a bed or meals should be registered with your group as a free spot and should be included in your total count. Please contact our customer service team at 1-877-CAMP-123, or email [email protected], to get this spot added to your registration.
VISITORS AT CAMP
Safety at camp is very important. Group Leaders should inform the camp director of any visitors throughout the cycle of camp. Upon arrival, visitors must immediately check in with the Camp Director. Visitors will receive a sticker that must be worn and visible at all times while on campus. Visitors are not allowed in the housing areas of campers and should remain in public or common areas while at camp. Visitors who plan to stay overnight should book their own lodging off campus and should make arrangements to pay the venue directly for any meals eaten on campus. Guests who wish to stay overnight on campus with their group should work with their group leader to register as a full participant and follow all policies related to adults at camp (background check, Child Protection Training, camp waiver, etc.).
Max occupancy policy
Some camps locations have rooms with queen, king, double beds, and/or sleeper sofas. At these locations, we book these rooms to max occupancy to keep the cost per person as low as possible, which means each pillow gets assigned to a person. A room with 2 queen beds sleeps 4 people. A room with 2 queen beds and a sleeper sofa sleeps 6 people. We will not make housing assignments that would require adults to share a bed with campers (unless the camper is the child of the adult).
At our locations that have large bunk house accommodations, depending on the size of your group, you will likely share a cabin with other groups.
If your housing policy does not allow for sharing beds, please notify the Camp Director weeks in advance. We may be able to assign alternate housing, provide options for rollaway beds or cots, or make other arrangements. We may not be able to honor requests for private beds or private rooms in every situation. You may also choose to consider alternate camp venues with single beds only.
Camp Dress Code
Clothing should be modest and appropriate for a Christian camp environment.
- Undergarments should not be visible at any time. Sagging or clothing designed to draw attention to underwear or the bottom is not allowed.
- Shirts must be worn at all times except during swimming or water activities.
- Tops with spaghetti straps, strapless tops, or tops with excessive cutouts are not permitted (except sleepwear).
- Sleeveless shirts and tank tops are allowed during daytime activities if they provide appropriate coverage.
- Shorts, skirts, and dresses should not be excessively short and should fully cover undergarments. Shorts should be long enough to be visible under shirts.
- Clothing should not be excessively tight, short, or revealing. Clothing that exposes the midriff, back, or excessive skin is not allowed.
- Swimwear: Girls should wear modest, one-piece swimsuits (or two-piece suits covered with a dark-colored t-shirt). Boys should wear modest swim trunks (no Speedos, square-cut briefs, or jammers).
- Closed-toe, closed-heel shoes are required for recreation and most scheduled activities.
- Adhere to any additional guidelines put in place by your Group Leader.
Note: Group Leaders are responsible for modeling and monitoring their group to ensure students are dressing appropriately.
PROHIBITED ITEMS
- Alcohol, tobacco, vape/e-cigarettes, hookah, illegal drugs, or drug paraphernalia
- Weapons of any kind (including look-alike or toy weapons)
- Fireworks, water guns, or items intended for pranks (water balloons, shaving cream, silly string, etc.)
- Gaming systems, tablets, computers, handheld gaming devices
- Skateboards, roller skates, or rollerblades
- Anything that advertises or promotes:
- Alcohol, tobacco, vaping, or illegal drugs
- Racism, sexism, or hatred toward any group or person
- Sexual actions, imagery, or situations.
Note: Cell phones and personal electronics are allowed at the discretion of the Group Leader but should not be used during camp programming and other scheduled activities. Smart watches are not recommended at camp.
Group Leaders are responsible for monitoring and enforcing these expectations within their group. Church groups are responsible for any damages or issues caused by prohibited items at camp.
